Office hours, photos, and checklists
Manage parent conferences, share classroom photos, and assign tasks to families.
Classroom tabs
Your classroom detail page has several tabs beyond Today and Children. Here is what each one does.
Office hours
Office hours let you offer time slots for parents to book meetings with you. This works well for parent-teacher conferences, check-ins, and scheduled conversations.
Setting up availability:
- Go to your classroom and click the Office Hours tab.
- Click Add availability.
- Set the day, time, duration (15, 20, or 30 minutes), and location (classroom, phone, video call).
- Choose whether it repeats weekly.
- Save.
Parents see your available slots from the Office Hours tab on their dashboard and can book directly. You receive a notification when someone books.
Managing bookings:
- View upcoming bookings from the Office Hours tab.
- Cancel a booking if you need to reschedule. The parent is notified automatically.
- Block a slot to mark it unavailable without removing your recurring schedule.
Photos
The Photos tab is a gallery for your classroom. Upload photos of children working with materials, classroom setups, or special events. You can tag photos with the children pictured and the competencies they were working on, which ties into progress tracking.
- Parents can view and download photos from their dashboard.
- Photos are shared with all families in the classroom.
- Your administrator controls photo visibility settings at the school level.
Checklists
Checklists help you track tasks that parents need to complete: returning permission slips, providing supplies, submitting forms.
Creating a checklist:
- Go to your classroom and click the Checklists tab.
- Click Create checklist.
- Enter a title (for example, "Fall field trip preparation").
- Add items. Each item is a task for parents to complete.
- Set a due date (optional).
- Assign to all children or select specific ones.
- Click Send.
Tracking completion:
From the checklist detail page, see which families have completed each item, which are pending, and the overall completion percentage.
Sending reminders:
For overdue items, click Send reminder to notify parents who have not finished.
Tips
- Offer office hours at different times to accommodate working parents.
- Keep checklists short and specific with clear due dates.
- Upload photos regularly. Parents love seeing what their children are doing.
- Review office hour bookings at the start of each week.
