FutureNerds is software that Montessori and early childhood schools use to run their classrooms. Schools use it to manage enrollment, track children, share photos and updates with families, send messages, and handle billing. In this policy, "FutureNerds", "we", "our", and "us" mean the company that operates the platform, FutureNerds.
This policy explains what personal data we handle, why we handle it, who we share it with, and the choices you have. It applies to people who use FutureNerds, including school staff, administrators, and parents or guardians.
For most account data, FutureNerds acts as the data controller. For children's data and other classroom records that a school enters, the school is the controller and FutureNerds is the processor that handles the data on the school's behalf. If you have questions about a specific child's record, please contact the child's school first.
Account data. When you create an account, we collect your name, email address, phone number, and the role you hold at a school, such as administrator, staff, or parent.
School and classroom data. We store information about schools and classrooms, including school details, staff lists, classroom names, schedules, and how children are grouped.
Children's data. Staff and parents enter information about children so the school can care for them. This can include a child's name, date of birth, photos, allergies and medical notes, dietary needs, emergency contacts, uploaded documents, attendance records, observations, daily tracking such as naps and meals, and progress or assessment notes.
Messages. We store messages and updates that staff and families send to each other through the platform.
Billing data. When a school pays for the service or a parent pays an invoice, we and our payment processor collect billing details such as the amount, the invoice, and a record of the payment. Card numbers are handled by Stripe and are not stored on our servers.
Application data. When a family applies to a school, we collect the information on the application form, which can include details about the child, the parents or guardians, and supporting documents.
Usage and device data. When you use the platform, we may collect technical data such as your device type, browser, and how you move through the app. How much of this we collect depends on your cookie choices, which we explain below.
We use account, school, and classroom data to run the service, sign you in, keep your account secure, and give each person the right access for their role.
We use children's data, messages, application data, and classroom records to provide the features schools and families rely on, such as tracking, photo sharing, communication, and enrollment.
We use billing data to send and collect invoices, manage subscriptions, and keep accurate financial records.
We use usage and device data, where you allow it, to understand how the product is used, fix problems, and improve features.
Our lawful bases for handling personal data are: performing the contract to provide the service, your consent for optional cookies and analytics, our legitimate interest in keeping the service secure and improving it, and meeting legal and record keeping duties. For children's data, schools set the lawful basis and instructions, and we act on those instructions.
FutureNerds is built for schools, not for children to use directly. The platform processes children's data on behalf of schools. Schools and parents are the source of that data, and the school decides how it is used.
Because the data belongs to schools and families, we do not sell it and we do not use it to build advertising profiles. We handle it only to provide the service and as the school directs.
We support schools in meeting their duties under laws that protect children's information, such as COPPA and FERPA in the United States and the children's data rules in the GDPR. If you are a parent and want to review, correct, or delete a child's information, please contact the child's school, which controls that record.
We do not sell your personal data. We share it only with the service providers we need to run the platform, and only so they can do work for us. These providers, sometimes called sub-processors, are listed below with what each one does.
Supabase hosts our database, manages sign-in and authentication, and stores files you upload such as photos and documents.
Vercel hosts the application. It also provides Vercel Analytics, which measures traffic in an aggregate, cookieless way and does not track individuals.
Stripe processes payments for invoices and subscriptions. Stripe handles card details directly under its own security standards.
PostHog provides product analytics and masked session replay so we can see how features are used and find problems. Session replay masks input, and we only use PostHog when you allow analytics cookies.
Google Analytics, loaded through Google Tag Manager, gives us website and product usage reports. We only load it when you allow analytics cookies, and we use Google Consent Mode v2 to respect your choice.
Sentry monitors errors and performance so we can fix bugs. It does not collect personal data for marketing and does not record session replay.
We may also share data when the law requires it, to protect our rights or the safety of others, or as part of a business transfer such as a merger, in which case we will let you know.
Cookies are small files stored on your device. We group them into three categories. Essential cookies are needed to sign you in and keep the service working, so they are always on. Analytics cookies help us understand usage and improve the product. Marketing cookies support promotion and measurement.
When you first visit, you see a consent banner once. You can accept all, reject optional cookies, or choose your own settings. Analytics and marketing cookies only load after you allow them. You can change your choices at any time in the cookie preferences section on this page.
We keep account data for as long as your account is active. We keep school and children's data for as long as the school's account is active or as the school instructs, since the school controls that data.
When an account is closed, we delete or anonymize the related personal data within a reasonable period, usually within 30 days, unless we must keep some records longer to meet legal, tax, or accounting duties. Backups are removed on a regular cycle.
Our hosting and main service providers are based in the United States, so your data may be processed there. If you are outside the United States, this means your data may be transferred across borders.
When we transfer personal data internationally, we rely on appropriate safeguards, such as standard contractual clauses with our providers, to protect it.
We use technical and organizational measures to keep data safe. These include row level security in our database so each person only sees the data they are allowed to, encryption of data in transit, and access controls based on your role.
No system is perfectly secure, so we cannot promise absolute security. We work to reduce risk and to respond quickly if something goes wrong.
Depending on where you live, you may have the right to access your data, correct it, delete it, get a copy to move elsewhere, limit how we use it, object to certain uses, and withdraw consent at any time.
You can manage much of your information in your account settings. You can also submit a data request through the platform's data request tools, or contact us at privacy@futurenerds.dev. For a child's record, contact the child's school, which controls that data.
We will respond to requests within the time the law allows. If you are not satisfied with our response, you may have the right to complain to your local data protection authority.
If a breach affects your personal data, we will investigate, contain it, and take steps to limit harm. Where the law requires, we will notify the relevant authorities and the people affected without undue delay. When a school is the controller, we will inform the school so it can meet its own duties.
We may update this policy as the service changes or as the law requires. When we make a material change, we will update the date at the top and, where appropriate, let you know in the app or by email. Please review this page from time to time.
