Products, pricing, and subscriptions

Set up tuition products, manage pricing, and configure subscription plans.

Products and pricing

Products represent the things you charge families for: tuition, registration fees, materials, meals, and more.

Creating a product

  1. Go to the Payments tab on your school dashboard, then click Products.
  2. Click Create product.
  3. Enter the product name, description, and price.
  4. Choose whether it is a one-time charge or recurring.

Pricing options

Each product can have multiple price points:

  • One-time -- a single charge (e.g., registration fee, materials fee).
  • Monthly -- recurring monthly charge (e.g., tuition).
  • Yearly -- recurring annual charge.

Subscriptions

When a family subscribes to a recurring product, the system automatically generates invoices on the configured schedule.

To set up a subscription:

  1. Open a child's profile and go to the Subscriptions tab.
  2. Click Add subscription.
  3. Select the product and price.
  4. Choose the start date.

Managing products

  • Edit a product to change its name, description, or price. Existing subscriptions are not affected.
  • Archive a product to hide it from new subscriptions. Existing subscriptions continue.
  • Delete a product only if it has never been used in an invoice.

Tips

  • Create separate products for each type of charge to keep reports clear.
  • Use descriptive names so families understand what they are being charged for.
  • Review pricing at the start of each academic year.
